Do you provide services or exclusive products? Do you offer set prices or one-time batches of products? For whatever reason do you not want or can you not mention prices or rates? We have a solution for this, namely an update of the quotation app! With the new version of this app, your visitors can easily request a quote for one or more articles. This gives you the opportunity to make a suitable offer per customer.
App
You can activate the "Quotations" app for free in the CCV Shop App Store via "Starting Point > App Store".
After activation, a number of settings are available in your maintenance tool. Via "Starting point > My Webshop > Settings > Order process & stock > Quotation settings" you will find the following settings:
- Quotation title: change the text on the quotation button.
- Text in category views: determine which text you want to show in the category view of the quotation products.
- Accompanying text: set the text that is displayed on the quotation page.
- Quotation texts: here you can set which texts should be shown in the e-mails. This consists of a header and a footer. These are also shown on the page that the customer will see when the quote is accepted.
- Working quotation button: determine here whether the customer is given the choice to go directly to the quotation page when clicking the quotation button or whether a pop-up is shown that gives the choice between 'continue to the quotation page' or 'continue shopping'.
Activate quote button.
The quotation button can be activated under the tab options for the product in question under the heading: "Display order/quotation button with product"
Data Fields
You can decide for yourself which data the customer has to fill in when requesting a quote. You can do this via "Starting point > My Webshop > Settings > Order process & stock > Data fields Order".
You also have the possibility to add your own fields at the bottom of the page. If you have installed the quote app before, the (previously required) fields for 'name' and 'e-mail address' will also be included. It is advisable to remove these and enable the replacement fields from the quotation column in the data fields.
With the free fields you have a choice of 2 types: text field and text area. In a text field you can only enter a single line of text, while a text area offers you the possibility to add more text. Did you already enter 'name' and 'e-mail address' in the previous installation of the Quotations app? Then they will automatically be converted to text field. We therefore recommend deleting 'name' and 'e-mail address' and using the relevant data fields in the column 'quotation'.
Quotation Management
Overview
Via "Starting point > My orders > Quotation management" it is possible to view all quotations. You can also search specifically for a specific quote or filter by fields such as name, date and status. It is also possible to create new quotations from this overview page.
Quotation Status
The overview shows the status of a quotation. The possibilities are:
- Requested: the quotation is requested by the customer.
- Open: the quotation is created manually in the maintenance tool
- Sent to customer: the quotation has been sent to the customer, but has not yet been accepted
- Accepted by customer: the quotation has been received and accepted by the customer.
Create a new quote
By clicking on the button "Create new quote" in the overview you can manually create a new quote. This works the same as editing an existing quotation but does not contain any data or products. These can be added by yourself.
View and edit quotes
To view and edit the details of a quote, click on the icon in the overview and select "edit data". You will then be taken to the detail page of the selected quote. This is divided into three tabs: Personal data, Products and Notes.
Personal data
In this tab the personal data of the customer can be viewed and adjusted. The fields listed here correspond to the fields listed here: "Starting point > My Webshop > Settings > Order process & stock > Data fields".
With the button 'customer data' you can fill in the form with existing customer data. One opens a screen where you can search in previous orders or customer data. For customer data, the app 'Login system' must be installed.
Products
Here the products can be adjusted and added to the quotation. Prices can also be adjusted here.
Besides the possibility to adjust the prices of the offering rules, it is also possible to give a final price. Then the discount in combination with the VAT will be calculated for you.
Notes
Here you can view, add and/or delete the notes for a quote. These notes are not visible to the customer.
Filtering
You have the possibility to search specifically for an order within the quotation management so that it does not take you much time to look for a specific quotation. For example, search by name or e-mail address. You can also filter on the status of a quotation: open, requested, sent to customer, accepted by customer, all.
Send quotation
When the quotation is complete, it can be sent to the customer. You can do this by clicking on the "Send quotation" button. The mail sent to the customer contains an overview of the quotation. It also contains a link that the customer can use to agree to the quote.
Convert to an order
When an offer has been accepted by the customer, it can easily be converted from order management into an order. To convert a quote, select the order and click on "Edit data". You will then be taken to the details page of the quotation with the “Convert to order” button at the top right. If you click on "Convert to order" you will see the following pop-up:
Here you can state the status of the order, and from here you can indicate that an invoice has been sent to the customer. In addition, when the app “Payment Link” is installed, an e-mail can be sent directly to the customer to pay for the order.
Quote prices
To show indicative prices on a quote, you need to use the toggle via Settings > Workflow settings > Quotes > General.
These prices are indicative. This means that costs such as shipping costs and costs that apply to certain payment methods are not included. Once the setting is enabled, the prices will be shown in three places, namely:
• On the product page at the quote button
• On the quote page
o Prices per line (price per piece * quantity) and the extra costs if attributes with a higher or lower price have been chosen
o Total amount ex. VAT
o VAT amount + percentages
o Total amount incl. VAT
• In the quotation email sent to the applicant
o Prices per line (price per piece * quantity) and the extra costs if attributes with a higher or lower price have been chosen
