A credit invoice is an invoice where you as a seller refund part of the invoice amount to the customer. This may be necessary when a customer returns a product or indicates after ordering that the customer wants to change their order. In the CCV Shop software, there are several ways to create a credit invoice.
You are able to modify an order at any time in your order management in the maintenance tool. When you change an order and the system notices a difference between an existing invoice and the current order, the system will ask by default if you want to create a new invoice. This automatically becomes a credit invoice when the new total amount is less than the amount on the current invoice.
Option 1 - Change the number of products
You can change the quantities of products or remove products in the order under the Products tab. When you do this and then save the order, you will be asked if you want to create a new invoice. This allows you to create a credit invoice.
Step by Step
- When you are logged into the maintenance tool, you can change an order via Starting point / My orders / Order management.
- Click on the order you want to change and go to the ‘Products’ tab.
- Change the quantities, or remove the product that the customer has returned or no longer wants to receive.
- Save the order by clicking on 'Save' or ‘Apply’.
- Then choose 'Yes' in the pop-up 'Create new invoice'.
- You can find the created credit invoice in the ‘Invoices’ tab.
Option 2 - Registering a return
The 'Returns' app gives you the option of working with returns and register returns you have received. You are also able to create a credit invoice when registering a return.
Note: For this option to work it is important to first install the 'Returns' app through the App Store.
Step by step
- When you are logged into the maintenance tool, you can register a return via Starting point / My orders / Order management.
- Click on the order you want to change and go to the 'Returns' tab.
- Then click on 'Create a return' and select the products the customer has returned.
- After adding and saving the order you can change the return status to 'Credited' in the same ‘Returns’ tab.
- In the first pop-up ‘Change return status’ you have the option to update the stock. Afterwards, click on ‘Save’.
- In the second pop-up 'Create new invoice' you can choose 'Yes'.
- You can find the created credit invoice in the ‘Invoices’ tab.
