When a customer orders a product, they will specify the destination country. Shipping costs will be determined based on the zone where this country is located and depending on the packaging of the ordered product.
Step 1: Packaging management
In the maintenance panel, go to “Starting point > My Web Shop > Settings > Shipping costs and logistics > Package management”.
Here, you will find an overview of available types of packaging. You can create additional packaging types under “Add”. You can change the name and position under “Package overview” (Figure 1).
You can easily link the correct packaging to your products using the import tool. In that case, use the corresponding IDs in your import file.
Please note! When you remove a packaging type, you will need to select a new one for these products.
Example: You want to remove the packaging named “Carton box”. Under “Replacement packaging”, you select “Present box”. When you then remove “Carton box”, all products that used to have “Carton box” as their set packaging will be reset to “Present box” (Figure 2).
Step 2: Country and zone management
In the maintenance panel, go to “Starting point > My web shop > Settings > Shipping costs and logistics > Country and zone management”.
Here, you can add different countries to one of the five zones. The example below shows the Netherlands added to “Zone 1”, Belgium, Germany and Luxembourg to “Zone 2” and France, Italy and Spain to “Zone 3” (Figure 3).
Furthermore, the following settings are available for each zone.
- Do not charge VAT.
- Reverse-charge VAT for business customers (this requires a VAT number to be included in the order).
To be able to reverse-charge VAT for business customers, you will need to give customers the option to enter a VAT number and company name in the order. To enable this, go to: “My web shop > Settings > Order process and stock > Data fields order”. Select the checkboxes for “Company name” and “VAT number”.
If you select this option, please remember that it is your own responsibility to verify the VAT numbers provided and that VAT reverse-charging was justified. If you do not want this, you can also opt to disable VAT reverse-charging. Business customers will need to make arrangements themselves after the transaction.
Step 3: Additional shipping options
In the maintenance panel, go to “Starting point > My Web Shop > Settings > Shipping costs and logistics > Extra shipping options”.
Here, you can select additional options to be included in an order. You can specify a number of settings for each option.
- No shipping costs: No shipping costs will be charged. For instance 'Collecting order'. An explanation will be displayed, to be set in Shipping settings".
- Payment on receipt: When this setting is ticked, the option 'Payment on receipt' will appear in the payment menu. This can be used, for instance, when an order will be collected.
- Extra costs: This amount will be added to the current price. For instance Insured shipping' or 'Gift wrapping'
The position of these options on the page will be mirrored on the web shop page. The option listed first is selected by default for every customer.
Examples:
- Insured shipment (with an optional surcharge)
- Gift-wrapped item (with an optional surcharge)
- In-store pickup (no shipping costs)
- Rush order
Step 4: Shipping settings
Calculation method
In the maintenance panel, go to “Starting point > My web shop > Settings > Shipping costs and logistics > Shipping settings”.
Here, you can specify the calculation method to be used when an order comprises several products with different packaging types.
- Highest: Based on the price of the most expensive packaging type used.
- Lowest: Based on the price of the least expensive packaging type used.
- Add up: Based on the sum of the prices of all required packaging types.
- Combined: All products are combined in a single package, using the lowest-ranking packaging type. The shipping costs will then be recalculated based on this packaging type.
Please note! In packaging management, the lowest rank is at the top. See the images below. This means the cardboard box is the lowest-ranking packaging type.
Examples
To further explain this, please see the following two examples:
Example 1: An order comprises two types of packaging – a box and an envelope. The box is the lowest-ranking packaging type.
Example 1:
1) Test Product Box (rank 1) price €10.00 (shipping costs €7.50).
2) Test Product Envelope (rank 2) price €7.50 (shipping costs €5.00).
An order subject to the “Highest” calculation method will result in: €7.50 in shipping costs.
An order subject to the “Lowest” calculation method will result in: €5.00 in shipping costs.
An order subject to the “Add up” calculation method will result in: €12.50 in shipping costs.
An order subject to the “Add up” calculation method will result in: €7.50 in shipping costs.
The box is ranked lowest, but if you want to charge €5 in shipping costs, the envelope will need to be moved to the lowest rank.
Example 2:
1) Test Product Box (rank 1) price €10.00 (shipping costs €7.50 and no shipping costs from €15.00).
2) Test Product Envelope (rank 2) price €7.50 (shipping costs €5.00).
An order subject to the “Highest” calculation method will result in: €7.50 in shipping costs.
(This will drop to €5 in shipping costs if the combined value of the packaged items is €15 or more).
An order subject to the “Lowest” calculation method will result in: €5.00 in shipping costs.
An order subject to the “Add up” calculation method will result in: €12.50 in shipping costs.
(This will drop to €5 in shipping costs if the combined value of the packaged items is €15 or more).
An order subject to the “Combined” calculation method will result in no shipping costs.
(The ordered products add up to more than €15, which means no shipping costs if the box is used.)
Shipping costs including VAT
Since 2007, Dutch companies are required by law to charge VAT on shipping costs. By selecting this option, VAT will automatically be calculated including shipping costs.
The VAT percentage of the products in the order will be used. When the order only comprises products subject to 6% VAT, VAT on the shipping costs will also be 6%. When the order comprises products subject to 21% VAT, VAT on the shipping costs will be 21%. If an order comprises products with different VAT tariffs, the highest tariff will apply to the shipping costs.
Explanation of shipping options
Here you can enter a text to be displayed for “Additional shipping options” if no shipping costs are charged. Example: No shipping costs.
Display additional shipping options
Here, you can choose between displaying the additional shipping options as a list or as a pull-down menu.
Selected country in shopping cart
Here, you can select the default country activated in the shopping cart.
Step 5: Shipping cost management
Here, you can set a shipping cost type for each type of packaging. You can subsequently indicate zone-specific amounts.
No shipping costs
This option is self-evident. Products with this packaging type are sent without charging shipping costs.
Fixed amount
This option adds a fixed amount to the total amount. The amount is zone-specific. As shown below, €5 is charged for shipments to Zone 1, and €15 for shipments to Zone 3.
No shipping costs above a certain amount
Shipping costs will be charged if the total amount is lower than the amount entered for “limit total amount".
Shipping costs based on the total amount
This option is based on the total amount of the ordered items. The final amount will be determined using a graduated calculation method based on the packaging, zone and total amount.
Shipping costs based on weight
This option is based on the total weight of the ordered items. The final amount will be determined based on the packaging, zone and weight.
Step 6: Workflow Settings
Starting point / My web shop / Settings / Ordering process & stock / Workflow
Here you can indicate under the orders tab whether you want to update the shipping costs as soon as the order has been paid. If this setting is on, operations from the order management will only adjust the shipping costs if the order has been credited in its entirety.
